Position Summary:

We are looking for an Accounts Payable Specialist who will work in our disbursements area. You will perform routine calculating, posting and verifying duties to provide primary financial data for use in maintaining accurate and timely payment records for assigned Supplier Vendors and/or internal departments. Prior experience in payables non-po and check Disbursement; cash application or departmental non-po data entry is preferred.

This role functions as an accounts payable data entry processor in the procurement to pay area. The incumbent will perform routine data entry of PO vouchers and minimal non-po voucher data entry in Peoplesoft ERP. Electronic image repository is used for invoice data and queue management of assigned suppliers. Responsible for maintaining accurate and timely payment records for assigned Supplier Vendors and/or internal departments.

This employee will work out of our Operations Center Building just south of the Medical Center near NRG Stadium. This role is full time and works on-site normal business hours. Position Key Accountabilities:

  1. Verifies, audits, and approves disbursement of funds for assigned vendors via Purchase Order (PO) voucher entry and minimal non-purchase order (Non-PO) voucher entry within the Financial Management System (FMS) Accounts Payable Module. Obtains appropriate signatures authorizing payments using departmental account ledger and PO approval information.

  2. Verifies, audits, and provides final approval of non-PO vouchers from various internal departments for disbursement of funds within the Financial Management System (FMS) Accounts Payable Module. Obtains appropriate signatures on payments/transfer of funds using departmental account ledger and approval information.

  3. Compiles, analyzes and interprets data regarding payment disbursement for goods and services applying thorough knowledge of procurement and University policies.

  4. Researches payments not correctly posted to vendor or departmental accounts and returned check mail.

  5. AP Team maintains assigned daily mail processing including vendor statements for PO payment processing within University agreed payment terms.

  6. Corrects payment errors by communicating with responsible buyer/department to validate adjustment to payment account, match status, or payment amount within FMS Accounts Payable Module.

  7. Initiates or performs voucher reversals, adjustments, credits or cancellations for payment to correct payment errors.

  8. May post and process payments for goods and services by generating the FMS PayCycle process per determined schedule. Prepares payment information daily for check mailing, EFT, ACH and Treasury Wire record.

  9. Responds to non-routine correspondence or telephone contacts within guidelines established by supervisor.

  10. Retrieves information regarding vendor payment records and balances within FMS. Utilizes Records Retention software (ImageNow) to obtain scanned payment support.

  11. Performs other duties as assigned.

Minimum Education:

High school diploma or equivalent.

Minimum Experience:

Three (3) years of experience. May substitute required experience with equivalent years of education beyond the minimum education requirement.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
