Position Summary

UTHealth’s Sponsored Projects Administration (SPA) is looking for a collaborative and innovative Director of Systems and Reporting who will oversee the enterprise systems, and all associated data, used to manage the university’s grants and contracts portfolio. S/he will manage all system upgrades, enhancements, integrations, security, and employee training as well as oversee SPA’s data collection, metrics, and integrity to design and distribute a variety of internal and external reports on over $300 million in annual grants and contracts.

We are looking for a technically savvy Director with strong functional research administration knowledge to direct and coordinate the activities of a team of three (3) dynamic staff members. This individual will serve as a liaison between both SPA and IT and, as a valued member of the SPA leadership team, will work closely with key leadership throughout the university. The ideal candidate will be an organized, critical thinker who is eager to develop and streamline departmental processes and procedures, while ensuring optimal system performance and reliability.

Position Key Accountabilities

  1. Provides team leadership & coordination of projects, task, & project management initiatives.

  2. Provides customer relationship management by defining customer needs and coordinating those needs with team work plans and goals. Responsible for performing analysis of business goals, objectives and needs.

  3. Works with leadership, vendors, customers and IT staff to coordinate, plan, assign, and review system project plans and deliverables, with responsibility for the successful implementation and completion of assigned projects.

  4. Provides expertise and leadership in most phases of the SDLC (Software Development Life Cycle) such as project scoping, requirements gathering, analysis, design, construction, testing, quality assurance, migration, and maintenance.

  5. Performs development and programming tasks through oversight of systems analysts, developers, and programmers.

  6. Actively provides ongoing training to Sponsored Projects staff, departmental administration, and faculty in the use of various systems and research administration processes.

  7. Introduces new technologies, solutions, and alternatives to support changing business and operational needs.

  8. Develops and supports all internal & external reporting and analysis of key UTHealth sponsored projects measurements (e.g. funding volumes), trends and benchmarks. Makes recommendations based on data extrapolation and analysis.

  9. Responsible for management & maintenance of sponsored projects data. Develops & maintains quality controls for all sponsored projects databases to ensure strict data integrity. Designs database queries, compiles, analyzes, & report statistical data.

  10. Provides direction and oversight of functional & technical support & training provided to customers. Troubleshoots advanced level issues and provides support/direction to staff. Interacts with other departments/units on a troubleshooting and knowledge sharing basis.

  11. Provides effective leadership, guidance, & critical communication to team, SPA personnel, vendors, IT & project teams as appropriate while promoting & contributing to a cohesive team environment. Makes recommendations for &/or facilitates problem resolution where appropriate.

  12. Provides oversight of the day to day management of SPA website content to include creation, addition, & removal of information from the website.

  13. Interfaces with various UTHealth department to ensure conformity with federal & state regulations, as well as IT Security standards, policies, & procedures of UTHealth & IT. Establishes & administers standards, policies, & procedures for the management of user support for, & end usage of all SPA system applications. Ensures user requirements are understood, documented, & communicated to all stakeholders.

  14. Manages Human Resources activities for direct reports in regards to: recruiting and selection; hiring and termination, training, development, mentoring, counseling, performance evaluations, and salary planning.

  15. Responsible for the design, execution and effectiveness of a system of internal controls which provides reasonable assurance that operations are effective and efficient, assets are safeguarded; financial information is reliable and compliant with applicable laws, regulations, policies and procedures.

  16. Perform other duties as assigned.



Demonstrated ability to work collaboratively in a diverse & complex enterprise.

Exceptional interpersonal skills necessary to provide effective leadership.

Excellent verbal & written communication & customer service skills, as well as technical & management experience.

Knowledge of query design, report creation, and graphic representations of data.

Knowledge & experience managing complex databases & providing analysis of data.

Clear and precise understanding of rules and regulations as well as procedures regarding grants/contracts, and compliance issues associated with said rules, regulations and procedures.


Experience with InfoEd Research Administration System or related Cloud ERP system

Experience using Tableau analytics software.

Minimum Education

Bachelor’s degree in Business, Computer Science, or related discipline.

Minimum Experience

Seven (7) years of functional Research Administration experience, including two (2) years of Systems/IT experience.

Physical Requirements

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.
