Position Summary:

We are looking for an executive assistant who will support the office of Sr. Associate Dean of Clinical Business Affairs. You will provide administrative support to executive level leadership under general supervision. Perform work that is varied and generally administrative and/or project oriented with analysis. Work regularly requires use of initiative, discretion and independent judgment. This position may provide secretarial support.

The Executive Assistant will be responsible for supporting three members of the Office of the Sr. Associate Dean of Clinical Business Affairs. You must have strong Excel, Word, and Outlook skills. You should also possess excellent time management skills, a strong analytical sense, and attention to detail skills. The ideal candidate will not be new to the healthcare field, and will be able to understand the atmosphere and terminology used daily in the office. This position will be uniquely situated to gain exposure to the clinical business practice of UTH, provide reporting to Executive Leadership, and interact directly with faculty and staff.

This is a full-time position that is eligible for all benefits from UTHealth. These include a robust medical care program as well as a pension plan administered by the State of Texas. A college degree is preferred, and at least six years of applicable experience is required to be considered for this role. You will work in the heart of the Texas Medical Center in our Binz Building located in the museum district.

Position Key Accountabilities:

  1. Manages the daily administrative operations associated with Harris Health System Contract. Serves as a liaison to provide and ensure a smooth, efficient, and appropriate flow of information; Drafts, edit, and review all correspondences; Works closely with the Chief of Staff Office to communicate changes in leadership to appropriate parties. Acts as an administrative contact for all levels of management and staff including UTH, Graduate Medical Education, and Harris Health Systems. Works closely with the administrator of the Harris Health contract to prepare various reports including: AMS Quarterly and Annual Accountability Reports, Credentialing Reports, and IRS 990 Tax Forms.

  2. Schedules, attends and facilitates meetings. Prepares agendas, records and distributes minutes, keeps on-going log of action items and completed tasks for Operations Committee. Maintain copies of all Final Contract Documents, Staffing Plans and Budget Letters. Collects and submits the monthly core, resident and professional support invoices, as well as quarterly accountability reports to Harris Health System. Works with McGovern Medical School Office of Finance and Departments to coordinate contract reporting. Submits all AMS faculty vacancy and amendment requests to Harris Health System for review and approval. Maintains and keeps current a log of all vacancy and amendment request submissions.

  3. Assist in compilation of quarterly Physician Productivity Report. Primary formatting and review of data, including communication with departments on missing data and proper compilation of the input necessary to compile a complete report. Responsible for creating salary reports on a monthly basis in support of the Physician Productivity Report. Provide technical support for the third-party vendor interface including but not limited to: user setup, help desk support, and data entry.

  4. Provide help desk support for the Time Study required to complete the Uncompensated Care report: interface including but not limited to: user setup, password resets, entering data for new providers, department mapping. Responsible for quarterly reports and analysis relating to the Time Study. Will assume all communication with department managers, their designees, and outside consultants in relation to quarterly time studies. Assist with special projects as needed in relation to the Time Study (onboarding all faculty, ensuring database is continually up to date). Assist in preparation of Texas Physician Uncompensated Care Report specifically running salary queries and review and management of the time studies.

  5. Assist in scheduling meetings, conference calls, preparing agendas and communications (monthly DMO meeting, various budget meetings with department, training etc.). Assist with management of the UT Physicians MGMA license. Creates and maintains standard monthly queries in support of managing affiliation agreements and assist with financial reporting as needed. Assist with large FMV reviews specifically running queries and setting up templates, pivot tables, and creating and maintaining database of FMV projects and metrics.

  6. Other duties as assigned.

Certification/Skills:

Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.

Use of University financial systems may be required.

Minimum Education:

High School diploma or equivalent required. Bachelor’s degree preferred.

Minimum Experience:

Six (6) years related work experience required. Extensive experience with scheduling, maintaining calendars, and travel itineraries required. Prior experience preparing meeting materials or general reports required. May substitute required experience with equivalent years of education beyond the minimum education requirement.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
