Position Summary:

We are looking for a grants and contract specialist who will work with our physical medicine and rehabilitation department. You will assist in planning, coordinating, and monitor the research activities for pre and post award. Provides administrative and financial operations supports to research department.

This is a full time position which is eligible for all benefits. These include low cost healthcare options as well as an excellent retirement plan run by the State of Texas. You will work in the University Professional Building in the heart of the Texas Medical Center.

Position Key Accountabilities:

  1. Assists Principal Investigator with pre and post award administration, fiance, and coordinating.

  2. Analyzes proposed grants and contract proposals and awards for special conditions/restrictions and establishes controls as needed to ensure full compliance.

  3. Provides assistance to Principal Investigators and research staffs to ensure allowability and allocability available to them by counseling and/or disseminating information and guidelines or the various granting agencies.

  4. Works closely with Post Award Finance and Clinical Research Finance to maintain life of grant and contract, requesting amendments and No Cost Extension.

  5. Assists with the development and submission of progress reports.

  6. Adjusts budget dependent upon contract requirements.

  7. Compiles financial and personnel reports for grants and contracts at the department or school level.

  8. Analyzes monthly research report and meets to review accounts with principal invetigators.

  9. Manages invoices for existing and newly awarded research accounts.

  10. Manages clinic and gift cards, subcontract payments, professional agreements.

  11. Prepares and submits budget transfers, budget journals, cost transfer memo.

  12. Oversees project close-out including final financial reports to grant agency.

  13. Assists fiscal year budget related to research funding.

  14. Manages and coordinates travel, purchasing, payroll, timekeeping for research.

  15. Monitors open encumbrances. Monitors expenditures and provides reports on the budget status. Provides a comparison between actual and budget.

  16. Responsibles for acquisition of documents needed to monitor adherence to grant or program requirements.

  17. Manages effort reportings

  18. Reconcilies and meets with Principal Investigators on monthly basis.

  19. Manages awards for residency and fellowship program.

  20. Responsibles for billing copays entry.

  21. Coordinates Grand Rounds program

  22. Serves as administrative liaison with others within and outside assigned areas regarding business and financial issues on purchasing, personnel, facilities, and operations.

  23. Prepares financial report as requested.

  24. Other duties as assigned.

Minimum Education:

Bachelor’s degree or relevant work experience in lieu of education

Minimum Experience:

Two years of experience

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
