We are looking for a Program Manager who will concentrate on our Office of Postdoctoral Affairs. This employee develops, plans and manages all activities of a school/unit program(s) or project(s). Functions in a Leadership capacity in the program. This position reports to the Assistant Director of the Office of Postdoctoral Affairs and supports the mission of the office to provide a central hub for administration processes and professional development training opportunities for Postdoctoral Certificate Training Program and collaborates with postdocs and the Office of Postdoctoral Affairs to provide training programs outside of the Certificate Program to foster postdocs in preparation for independent research, professional, and academic careers. You must have strong interpersonal, written and verbal skills and the ability to work with diverse populations. Candidates mucst demonstrate that they have strong database experience including the ability to run queries and reports in Microsoft Office Access. You must also must be proficient with Microsoft Office Word, Excel, Powerpoint and Access. There will be a need for knowledge of website maintenance using Dreamweaver, WordPress or similar platforms. Use of automated event planning programs preferred. Ability to use independent judgement, juggle multiple tasks and projects, and all the while being very detail oriented. Knowledge of scientific concepts, training and career trajectories preferred.

You will spend your days interacting and supporting a diverse population of postdoctoral trainees, faculty and administrators. Responsibilities include program management and communications along with database management and general office support.
This is a full time role that will report during weekdays to an office in the heart of the Texas Medical Center. Specifically it will be located in the expansion area of the McGovern Medical School. It is eligible for full benefits and is classified as exempt.
Position Key Accountabilities: (May perform some or all of the following)
Manages Postdoctoral Certificate Training Program activities. Responsible for recruitment, enrollment, registration, attendance, grade reporting, evaluations, etc. Ensures clear communication of course options for each participant and tracks progress through the program. Ensures all participants have cleared required processes for enrollment in courses.
Works closely with internal departments include the Office of Registrar, Office of International Affairs, Student Health Center, Bursar and Auxiliary Enterprises to ensure seamless enrollment and access to benefits for participants each semester.
Oversees and maintains the Office of Postdoctoral Affairs master database by extracting information from a variety of reports and resources from Human Resources, Office of International Affairs, appointment submissions, etc. to track and record accurate data including funding sources, salaries, visa status, etc.
Runs queries and prepares reports for the Coordinating Board, NSF/NIH and postdoctoral surveys. Provides data to internal departments for grant submissions, renewals and reporting. Communicates with departments and postdocs on annual review status.
Maintains funding database for postdoctoral fellowships including requirements, eligibility, awards, and links to funding agencies.
Working in conjunction with the Postdoctoral Association and the Assistant Director to coordinate career development programs/workshops at UTHealth and in conjunction with other institutions. Promotes Office of Postdoctoral Affairs and other career development programs via social media, emails, website content and through collaboration with various stakeholders. Handles facility scheduling, online registration, and other ancillary duties as required.
Uses scientific knowledge to assist with the preparation of individual development plans and other Office of Postdoctoral Affairs resources and programming.
Maintains office resources required for administration of programs.
Other duties as assigned.

Bachelor’s degree or relevant work experience in lieu of education.
Five (5) years of applicable experience.
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
