Position Summary:

We are looking for a senior administrative assistant who will work with our physical medicine and rehabilitation department. You will provide general and varied administrative and business support to this department of professionals under general supervision. Perform work that is varied and generally administrative and/or project oriented with general analysis.

This is a full-time position that will report to an office in the Texas Medical Center. It is classified as a non-exempt role and eligible for full benefits. You will be covered by low cost healthcare options as well as an excellent retirement program administered by the State of Texas.

Position Key Accountabilities:

  • Provide administrative supports for the department clinical faculty.

  • Resolve inquires and questions and responds for telephone, fax, and mail contacts.

  • Prepare confidential documents as requested.

  • Coordinate meeting and official function.

  • Attend monthly meeting and prepare agenda and minute.

  • Assist with clinical billing submission and communicate with clinic staffs to provide information for inquires and questions.

  • Make travel arrangement and handle reimbursed from conferences.

  • Generate purchase orders and reimbursements.

  • Manage and reconcile Educational Funding Account.

  • Manage department Account Receivable and Payable.

  • Maintain and reconcile financial records on monthly basis.

  • Serve as Parking, Facility, Capital Management, and Telecommunication Coordinator.

  • Maintain department space and equipment inventories.

  • Manage new faculty recruitment process such as ordering phone, computer, lab coat, parking, and other issues.

  • Manage student observer program and assist with Grand Rounds.

  • Provide guidance and direction to office assistant regarding preparing orders, reimbursements, and conferences.

  • Maintain knowledge base of legal and regulatory requirements.

  • Resolving complex inquiries and responsible for making routine decisions and judgment.

  • Prepare routine budget and financial responsibilities as requested.

  • Ensure smooth communication and coordinator with internal and external groups.

  • Provide back up as assigned.

  • Other duties as assigned.


Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.

Use of University financial systems may be required.

Minimum Education:

High school diploma or equivalent required. Associates degree preferred.

Minimum Experience:

Five (5) years related work experience required. May substitute required experience with equivalent years of education beyond the minimum education requirement.

Prior experience with scheduling, maintaining calendars, and travel itineraries required.

Prior experience preparing meeting materials or general reports preferred.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
