Position Summary:

We are looking for a Senior Enrollment Specialist who will concentrate on document imaging for student accounts. You will interact with applicants, students, faculty, staff, Student Affairs Offices, and Academic Affairs for all issues pertaining to the processing of student enrollment. Works with all other office staff to ensure the achievement of the Registrar’s Mission Statement. This role focuses on making sure the correct documents are in a student's profile as they move through their degree program. Any familiarity with the software program Documentum will be helpful. You must have great attention to detail, be excellent at proof reading, and have strong customer service skills. You will need to communicate clearly with both students and the technical team that supports the Registrar's office. This is a crucial role that has to team up with the admissions department of UTHealth's schools.

This is a full time role that is classified as non-exempt. You will be eligible for full benefits including great healthcare options as well as a very strong pension plan administered by the State of Texas. This employee will office in the University Center Tower in the heart of the Texas Medical Center. This location is easily accessible by either bus or rail lines from Metro.

Position Key Accountabilities:

  1. Provides exceptional customer service daily to every person that reaches out to the Registrar’s Office.

  2. Makes recommendations to the Registrar or Associate Registrars regarding business process improvements to stay up to date with enrollment and registration best practices.

  3. Performs data entry and data maintenance for applicants, students and alumni in the university’s student system.

  4. Provides accurate and timely application and registration information to the university community.

  5. Reports and maintains student status data to external and internal agents.

  6. Responsible for the daily processing of certification of enrollment and/or verifications – manual and online.

  7. Processes admissions documents and verifies receipt of transcripts and degrees (as noted on application) for entering students.

  8. Assists with grade posting and changes as needed.

  9. Processes class updates and schedule changes as requested.

  10. Maintains official student records via the document management system.

  11. Assists in graduation process, including but is not limited to, processing and tracking degree applications, name changes, correspondence with students in reference to degree audit and proof-reading diplomas

  12. Assists Associate Registrar with system setup for course registration.

  13. Assists academic admissions staff during peak admissions cycles.

  14. Performs other duties as assigned.



Minimum Education:

High School Diploma or equivalent.

Minimum Experience:

Three (3) years of registrar and/or admissions experience.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
