POSITION SUMMARY:
We are looking for a Senior Support Assistant to work in the procurement area. This is a second step entry level job
that performs routine tasks under defined supervision.
Performs a variety of moderately complex clerical tasks to support assigned
area. This position may provide secretarial support. This role mainly works with scanning purchase orders for the department using an OCR (Optical Character Recognition) device. You will also be working on this process with mail items and other documents. This position also will be a back-up to a coordinator in the department. Candidates with any exposure to PeopleSoft or Right Fax are preferred.
This position includes processing the daily mail in Image Now / OCR (Optical Character Recognition) for eight accounts payable team members and ensure that all accounts payable urgent requests invoices are scanned in a swift manner to avoid interruption of services. In addition, you will be maintaining the department’s website, processing various FMS transactions, i.e., requisitions, deposits, receivers, etc., and monitor the PO dispatch right fax PeopleSoft queue. May be assigned routine budget or financial responsibilities by supervisor. Advises on policy and processes as assigned by supervisor.
This is a full time position that will be paid hourly. It is classified as non-exempt. You will be working in the Operations Center Building which is south of NRG Stadium and 610. This role is eligible for all benefits from UTHealth including medical coverage and a pension run by the State of Texas. It will be a standard work week with typical hours.
POSITIONKEY ACCOUNTABILITIES:
Respondsto non-routine correspondence or telephone contacts in area of responsibilitywithin guidelines established by supervisor.
Draftscorrespondence and memoranda; prepares graphs, tables and manuscripts; preparesreports and presentation materials.
Schedulesand maintains calendars, travel itineraries, and coordinates relatedarrangements in compliance with all University, governmental, and/or grantpolicies and guidelines.
Maymaintain and reconcile assigned financial records/ reports for area.
Receives,classifies, reconciles, consolidates, and/or summarizes documents andinformation.
Compilesdata from reports using required knowledge of departmental, project, and/oruniversity policies and procedures.
Assistswith data entry and basic processing for the financial and/or human resourcessystems.
Schedulesmeetings and rooms, invites participants, and arranges refreshments andequipment as needed. May prepare anddistribute meeting minutes.
Maintainsoffice supplies and equipment.
Screenscalls and emails and receives and directs visitors.
Retrievesinformation from departmental and/or project records.
Mayhandle confidential information and sensitive issues.
May trainentry level clerical staff.
Handlesbasic to moderately complex inquiries.
May beassigned routine budget or financial responsibilities by supervisor.
Adviseson policy and processes as assigned by supervisor.
Otherduties as assigned.
CERTIFICATIONS/SKILLS:
Working
knowledge of standard Office Software such as Word, Excel, PowerPoint and
Outlook is required.
FMS training
with a passing score may be required.
Use of
University financial systems may be required.

MINIMUM EDUCATION:
High School diploma or equivalent.
MINIMUM EXPERIENCE:
Three (3) years of general office experience.May
substitute required experience with equivalent years of education beyond the
minimum education requirement.
Prior experience scheduling and maintaining calendars & travel
itineraries.
Prior experience with preparing meeting materials or general reports
preferred.
PHYSICAL REQUIREMENTS:
Exerts up to 20
pounds of force occasionally and/or up to 10 pounds frequently and/or a
negligible amount constantly to move objects.
