and project-oriented support to the Chair, faculty and staff under general
supervision. Work regularly requires use
of initiative, discretion and independent judgment.
POSITION KEY ACCOUNTABILITIES:
Workswith departmental faculty, fellows and staff to prepare and submit grantapplications to federal and private sponsor agencies.
Workswith the Chair to coordinate faculty search, recruitment, promotions, and annualfaculty evaluations.
Servesas a webmaster for departmental website.
Mayassist in preparation and compilation of documents for faculty and staff’s visaapplications.
Liaiseswith other UTHealth departments on matters related to purchasing, personnel,facilities and operations. May approve purchases of office supplies andequipment.
Maintainsor reconciles financial records.FMStraining with a passing score will be required.
Retrievesinformation from departmental and university systems, composes correspondence,memoranda, graphs, tables, manuscripts, reports and presentation materials.
Schedulesand maintains calendars and travel itineraries; coordinates travelreimbursements and other related arrangements in compliance with allUniversity, governmental, and/or grant policies and guidelines.
Coordinatesmeetings and gatherings, room assignments, invites participants, and arrangesrefreshments and equipment as needed. May prepare and distribute meetingminutes.
Regularly handles the highest level ofconfidential information and sensitive issues.
Screens calls and emails and receivesand directs visitors.
Responsible for filing systems, accuracyand compliance of files, records and reports for assigned area.
Provides guidance and direction to lower-levelstaff. May be expected to train entry-level clerical staff. Assists withinterviewing and orientation of new staff.
Other duties as assigned.
Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.
Use of University financial systems may be required.
Six (6) years related work experience required. Extensive experience with scheduling, maintaining calendars, and travel itineraries required. Prior experience preparing meeting materials or general reports required. May substitute required experience with equivalent years of education beyond the minimum education requirement.
Prior Experience with grant submissions/ pre-award activities strongly preferred.
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
